Application Definitions and Descriptions
A list of definitions and descriptions is provided to better understand the activities within the SPARCC operation.
- Accounts Receivable Facility (ARF) - This program is an on-line accounts receivable subsystem.
- Attendance - The Student Daily Attendance package is designed to aid school personnel in recording, storing, and processing daily and cumulative student attendance information for the current school year.
- Period Attendance - This package is designed to aid school personnel in recording, storing, and processing attendance by class for the current school year.
- DASLR / Safari - EMIS - Report Generator is a powerful reformatting program which allows the user the capability to customize reports generated using information collected with a list maker program.
- Direct Deposit - Districts can utilize the direct deposit option of the USPS software to create information necessary for direct deposit with a local bank.
- Discipline - This is a package designed to help school administrators record, store and process daily cumulative discipline information.
- EMAIL - (Electronic Mail) - School personnel with this on-line computer
access network can have the capability of tying into a statewide computerized communications network. Messages can be sent to users
throughout the world. Single mail messages can be sent simultaneously to any number of users. - EMIS - Satisfies state requirements through the aggregation of on-line Fiscal/Staff and Student data.
- ENR-PROJ - This program allows an enrollment projection report to be
created via network link with the Ohio Department of Education computer
system. The report is based upon historical data, birth records as reported by the local county health departments, etc. The Report can be used as a tool in school district planning from an enrollment standpoint. - INFOhio - INFOhio is a statewide cooperative school library and information network that uses technology to enhance curriculum and instruction of information literacy by providing greater access for Ohio's learners and educators. INFOhio's components include electronic resources for schools, instructional development for teachers, library automation and a statewide union catalog.
- Internet Content Filtering - Prevents access to pornographic and non-educational websites.
- Media Booking - Electronic accesses for Media Resources commonly found in the Area Media Center.
- Microsoft Reporting Services - This package is used to design and generate reports that include data from a database such as Registration, Scheduling, Report Cards, Attendance and Discipline. Users can use the Report Generator to sort records, select records that meet certain criteria, and print information in a useful format.
- OCIS - The Ohio Career Information System contains current information that relates employment opportunities to educational programs and the schools that offer them. The OCIS software provides current information about occupations, post-secondary institutions, and programs of study and training. The information is written for a user's specific locality and in a manner which can be easily understood by a variety of users. This system is for students and adults who are changing occupations or seeking entry into post-secondary educational institutions.
- Ohio Educational Directory Reporting System (OEDS-R) - This program allows for the entry, editing and reporting of employee data for producing a State Educational directory.
- Personnel Subsystem - This program is used to meet EMIS reporting
requirements and to maintain staff attendance information. It links closely with the payroll module to avoid duplicate maintenance of information. - Registration - This a package designed to store student demographic
information for an entire school district in a central, easily-accessible
location. - Salary Schedule - This system is used to maintain district salary schedules, individual employee salary placement information, and salary projections. It interfaces with the USPS system to create new contract information.
- School Asset Account System/Equipment Inventory Subsystem (SAAS/EIS) - This is a fixed assets accounting system for school districts. This system uses a consistent, full-screen interface to allow districts to enter and maintain information about their inventory. The EIS system will provide the necessary information for modified accrual reporting according to Generally Accepted Accounting Principles (GAAP) as well as give districts the ability to quickly and easily obtain a variety of management and budgeting reports.
- Student Scheduling - This is a package designed to assist school administrators with the entire scheduling process from gathering student requests to scheduling students.
- Sublabels - The Substitute Teacher Address Labels program will create a report for the school district chosen. The report will contain the name and mailing address of every current substitute teacher listed as available per district. This text file can then be printed onto labels for mailing purposes.
- Testing Services for Achievement / OGT - SPARCC personnel provide
demographic data tapes to the scoring company for districts requesting
pre-identification bar code labels for their students. Placing these labels on the answer sheets eliminates the need for students to fill in the ID grid, reducing the margin for error. SPARCC personnel load the data (from the scoring company) containing the test results into the Student Registration Database which ultimately is loaded into the EMIS Database. This eliminates most hand-entering of the results. - Training and Support - Training sessions, workshops and support is offered for all SPARCC software at no additional cost. Software support is available through help files, the use of electronic mail and Helpdesk
software, by telephone, in-house and on-site training, and in the form of hard copy documentation created by SPARCC staff. - Transcripts - Transcripts are designed to assist school administrators with the process of creating student transcripts. This package includes reports such as Graduation Requirements, which lists courses, completed grades, required, awarded, current and deficient credits.
- UDMS/SAFARI/SAFARI ODBC - State supported software products that offer a number of tools allowing users to generate various types of reports, download data and generate graphs.
- Uniform School Accounting System (USAS) - This is a computer based accounting system designed to be used by school districts, educational service centers, and county boards of education. The system tracks financial data relating to accounts payable. The software module maintains data associated with the general ledger master, vendor master and transactions such as purchase orders, invoices, warrant checks, and receipts. From this data, reports and forms such as the 4502 and IRS 1099 can be produced automatically. Many components of this subsystem are now available through a web-interface. components of this subsystem are now available thru a web interface.
- Uniform Staff Payroll System (USPS) - This system produces payroll checks and maintains employee data. This data includes employee master records, deductions and payroll accounts. The package can generate required forms and reports such as W2's, STRS advance, SERS monthly reports, OBES reporting and other quarterly employer reports. This module links with the accounting module (USAS) to automatically post payroll information and create purchase orders for employee paid benefits.
- Vacancy - This program will post an announcement of a position vacancy, via electronic mail.
- Vehicle Information System (VIS) - This system maintains data with regard to inventory levels, mechanic activity records, expenses, and gas and oil usage.
- Voter Registration - A program that generates lists and labels for registered voters in your district.
